1. Start with the one thing vendors avoid: what happens when the internet is down

Pakistan's connectivity is improving, but power and internet interruptions are still routine in many cities. A lab cannot stop registering patients because a router failed. Ask every vendor the same question: if the internet goes down at 11 AM, can we keep working?

You will hear three answers. Cloud-only software says no. Offline software says yes, but then you cannot see branch data from anywhere. Software with offline and cloud sync — like PathCare — says yes and reconciles when the connection returns. That third answer is the only one that fits a working lab.

2. Match the software to your lab type

  • Standalone pathology lab: registration, test templates, reporting, billing and inventory are the essentials. You do not need radiology or pharmacy modules.
  • Diagnostic centre with imaging: you need radiology report templates, image attachments and consultant signatures in addition to the pathology workflow.
  • Multi-branch or collection centre network: each branch needs its own rate list and login, and head office needs consolidated reporting and sample transit tracking.
  • Hospital pathology department: role-based access for consultants, technicians and reception, plus an audit trail and integration with hospital billing.
  • Pharmaceutical or industrial QC lab: batch records, audit trails and ISO 17025 documentation matter more than patient reporting. This is a different product category — evaluate accordingly.

3. Check compliance claims properly

Punjab Healthcare Commission (PHC) minimum service delivery standards, for a clinical laboratory, depend on being able to show documented processes: unique sample identification, barcode labelling, complete test reporting and traceable records. Ask a vendor to show you, in a live demo, where those records live in the system — not just a slide that says "PHC compliant".

If you serve pharmaceutical clients or pursue accreditation, ask specifically about audit trails, electronic signatures and measurement uncertainty documentation. That is a genuinely different requirement from clinical reporting, and many clinical packages do not provide it.

4. Do not buy blind on machine integration

Analyser integration is where many implementations quietly fail. Sales teams promise it; the interface turns out not to support your specific machine model. Before you sign, insist on a live test with your own analyser — a CBC analyser, a chemistry analyser or whatever sits in your lab — during the evaluation phase.

5. Compare the real three-year cost

A headline monthly fee tells you very little. Build a three-year total that includes setup, training, data migration, machine interface work, customisation, future upgrades, support and the number of users or devices. Confirm whether billing is in PKR or USD. USD contracts carry exchange-rate risk that has hurt Pakistani labs repeatedly.

Where PathCare sits: PKR pricing from PKR 2,000 per month, full offline mode with cloud sync, WhatsApp and QR reporting, machine integration, multi-branch support, free setup, free training and 24/7 support.
